The Administrative Staff ensures smooth day-to-day operations at 5T Beauty Academy by managing organizational tasks, supporting students and staff, and maintaining efficient office systems.
1. Office Management
- Maintain a clean, organized, and professional office environment.
- Oversee supplies inventory and reorder items as needed (e.g., stationery, equipment, beauty supplies).
- Ensure all office equipment is functioning properly and arrange for repairs if necessary.
2. Student and Staff Support
- Assist students with registration, class scheduling, and inquiries about academy programs.
- Provide administrative support to instructors and management, such as preparing materials or organizing files.
- Handle attendance records and track student progress as needed.
3. Document Management
- Maintain accurate records of student enrollment, payments, and certifications.
- Organize and file documents such as contracts, invoices, and correspondence.
- Prepare and distribute reports, memos, and meeting minutes.
4. Communication and Coordination
- Act as the point of contact between students, staff, and external stakeholders.
- Handle emails, phone calls, and other communications promptly and professionally.
- Coordinate meetings, workshops, and events, including scheduling and logistics.
5. Financial and Transactional Tasks
- Process tuition payments, refunds, and other financial transactions accurately.
- Maintain records of financial activities and assist with basic accounting tasks.
- Assist in preparing invoices, receipts, and monthly financial reports.
6. Event Support
- Help organize open houses, graduation ceremonies, or promotional events.
- Coordinate logistics such as venue setup, participant registration, and material distribution.
- Ensure events run smoothly and address any issues promptly.
7. Compliance and Policies
- Ensure all administrative practices align with academy policies and local regulations.
- Maintain confidentiality of student and staff information.
- Support the implementation of safety and hygiene standards across the academy.
8. Data Management
- Maintain and update student and employee databases.
- Generate reports on enrollment, attendance, and course completion rates.
- Use software tools to streamline administrative tasks (e.g., scheduling systems, spreadsheets).
